Free purchase order maker

How to make a purchase order here

  1. Type your business details once. Your business prints at the top as the "Buyer": name, address, state and GSTIN. Saved businesses appear as you type.
  2. Fill in the vendor. Under "Vendor (order to)" type the supplier's name, address, state and GSTIN. The vendor is saved as a supplier, so next time the name comes up as a suggestion.
  3. Add a "Deliver to" address if needed. Leave it empty when goods come to your own address. Fill it in when they must go to a site, a godown or a branch.
  4. Add the items. Description, HSN code, quantity, unit, rate, discount and GST rate. Saved items come up as suggestions while you type; nothing fills in by itself.
  5. Set the dates and terms. Choose "Delivery by", type the vendor's quotation number if they sent one, and write your terms: payment, freight, packing, what happens if goods are late or damaged.
  6. Save, then Print / PDF or Share. Share sends the PDF through WhatsApp, email or any app on your phone. On a computer the PDF is downloaded so you can attach it. Change the status to Goods received or Cancelled later.

What it does for you

Your data stays with you

Everything you type is kept in this browser on this device. There is no account and nothing is uploaded to us. Your businesses, customers, suppliers and items are shared with the other Nivesh Sahayak document tools through my.niveshsahayak.in, so details you saved while making an invoice or a quotation are already here as suggestions.

Keep a backup. If the browser's data is cleared, saved work in it is gone. Open My data (top of the page) and press Save a backup file now and then. One file holds every document, customer and item, and restores them on any other computer or phone.

Guides

Questions people ask

Is this purchase order maker free?

Yes. Making, saving, printing and sharing purchase orders is free, with no login and no limit. A small line at the bottom of the page says where it was made.

Is a purchase order a GST document?

No. GST rules do not ask for a purchase order, it is not shown in any GST return, and no input tax credit can be claimed on it. Credit comes from the supplier's tax invoice.

Should GST be shown on a purchase order?

It helps. Tick "Show GST on this document" so the supplier and you agree on the full amount, including CGST + SGST or IGST. Untick it if you only want to show rates.

Is a purchase order legally binding?

Once the supplier accepts it, in writing or by supplying against it, it usually forms a contract between you. Write clear terms. For large or long contracts, ask a lawyer.

Can I make a bill from a purchase order here?

No. The bill is the supplier's document. This maker keeps your order and its status: Ordered, Goods received or Cancelled.

Where does the vendor get saved?

The vendor is saved as a supplier in your shared data on my.niveshsahayak.in. Next time their name comes up as a suggestion; nothing fills in until you pick it.

Can goods be delivered to another address?

Yes. Fill in "Deliver to" with the site, godown or branch address. Leave it empty when goods come to your own address.

How do I send it on WhatsApp?

Press Share. On a phone the share sheet opens with the PDF attached: pick WhatsApp and the chat. On a computer the PDF is downloaded so you can attach it.
